How to Exchange an Online Order In Store with Shopify POS
Exchange or return a Shopify web order at your counter: find it in POS, swap items, settle the difference and restock. Needs POS Pro for exchanges.
You can exchange an online order at your counter in Shopify POS, because the POS Orders screen shows web orders too. Find the order, tap Return or exchange, pick the original item, add the new product and settle the difference.
Exchanges need a Shopify POS Pro subscription at the location. On POS Lite you can refund a web order at the counter. You cannot swap items in one transaction, so the customer must pay for the new item separately.
This guide is for a store owner with one location and a website. It covers the counter exchange process, the admin refund process, an example and a checklist.
Why in-store returns and exchanges matter
The National Retail Federation estimated that 15.8% of US retail revenue would be returned in 2025, about $849.9 billion.
It also found 82% of shoppers call free returns a major factor when they buy.
For a store owner, an exchange keeps the money in the business. A refund sends it out. A counter exchange also saves return shipping fees.
In our accounts, a customer who exchanges in person often makes another purchase. That is how a single store can retain revenue that ecommerce stores without a counter lose.
Smooth returns and exchanges protect your brand and lead to repeat purchases.
Find the web order in Shopify POS
Shopify states that all POS and web orders display on the POS Orders screen. The catch: the default filter shows POS orders from your location only.
Use the Search field. You can search by order ID, item name, receipt number, customer name or card digits. Or set the Sale type filter to Online.
Most shoppers bring an emailed order confirmation with a barcode. Tap the Search icon, then the barcode icon, and scan it.
Exchange online order in store: Shopify POS steps
Staff need the Return and exchange orders permission to create an exchange.
- Tap the Order icon and tap the order.
- Tap Return or exchange and tap the returned items. Barcode scanning does not work here.
- Optional: tap Return reason and choose one, or type a Note.
- Optional: turn off Restock at this location on a returned item.
- Tap Done to go back to the home screen.
- Scan or search for the exchange item.
- Optional: tap it to Change variant or toggle taxes.
- Tap the checkout button. It reads Checkout plus the amount owed, or Refund plus the amount due back.
- Collect payment from the customer or issue the refund, then tap Done.
If the button says Refund when you expected an exchange, you skipped step 5.
Settle the price difference
The exchange screen nets the two sides of the transaction. If the new product costs more, the customer must pay the gap.
If it costs less, you pay the money back. POS shows the gap on the checkout button, so staff collect the right amount.
Refunds follow the original payment, capped at what the customer paid with each method.
To keep the value in the business, refund the gap as store credit on the customer’s account. Turn on Allow orders to be refunded to store credit in the Point of Sale settings. The order needs a customer profile, which web orders have. See our return credit guide.
Restocking and inventory management
Returned items restock at the location where you process the exchange, even if the original order shipped from a warehouse location. You cannot redirect the stock from the POS.
Unified inventory management matters. Web and counter orders must draw on one stock count.
Otherwise the exchange item may display as available when it is not. In our accounts, the exchange process fails here, because count errors happen.
Create a return in the Shopify admin
When a customer mails an item back, you create a return in the Shopify admin. This is the return process for ecommerce orders sent by mail.
- Go to Orders and open the order.
- Click Return. If the order has unfulfilled items, click More actions, then Return.
- Enter the quantity and choose a Return reason.
- Optional: edit the Restocking fee or Return shipping fee in the Summary.
- Optional: in Exchange items, click Add products.
- Choose a Return shipping options setting.
- Click Create return.
Create a return before the refund, so the reason and details are recorded. Only fulfilled, unrefunded items qualify.
You cannot add custom items as exchange items, or add exchanges to orders with duties. Product discounts work on exchange items; order discounts do not.
Return shipping options
Create a return label in Shopify works only when your primary location and the customer’s address are both in the United States.
Upload a return label takes a PDF or image. A Canadian store uploads a Canada Post or courier label.
No shipping required suits a customer who will drop the item at the shop and skip shipping.
Who owes whom after an admin exchange
| Outcome | What you do |
|---|---|
| You owe the customer | Process the return and issue the refund |
| The customer owes you | Collect by invoice, capture payment, or mark as paid |
| Even exchange | Process the return; the original payment covers it |
Exchange inventory is not reserved until you process the returned items, and you must fulfill the new ones.
The customer gets an automated email listing the exchange items, and the order status shows any balance.
Choose the right exchange flow
| Situation | Best route | Plan needed |
|---|---|---|
| Customer brings the item in | POS exchange | POS Pro |
| Customer mails it back | Admin return with exchange items | Any plan |
| Customer starts a request, drops off in person | Self-serve return, processed at POS | POS Pro |
| No receipt and no order | POS unverified return | POS Pro |
Wrong size and damaged item requests
Most exchange requests in a clothing store are a wrong size, so the customer wants a different size. Use Change variant on the original item’s replacement, and POS will determine the price.
A damaged item is different. Turn off Restock at this location so it stays out of sellable inventory. Record the details for your supplier claim.
Limits that block an in-store exchange
- A return already open in the admin. POS cannot exchange while an admin return is open; close it, or create a return there.
- Automatic discounts. No automatic discount applies to exchange items. Tap the item on the Exchange summary page and add a manual discount.
- Bundles. Exchange bundle components one at a time.
- Orders paid in several payments or edited. After an exchange, you cannot take more payments on that order.
Returns and exchanges policy: rules and final sale
Return rules apply on POS Pro locations. In Settings > Policies, under Return rules, click Manage, then Turn on. Set a Return window (14, 30, 90 days, unlimited or custom) and mark items or collections as final.
The window covers both POS returns and online self-serve returns. Restocking and return shipping fees are not enforced on POS.
Turn on Require return reasons in Point of Sale > Settings. Over a season, that customer data shows which return products cost the most, with details.
Publish your returns and exchanges policy, including final return products, on a page of your website. Ecommerce shoppers read it before they buy, and it supports your brand.
Shop app returns and unverified returns
With self-serve returns on, turn on Allow customers to return orders to physical store locations in the Shop channel. Customers show a QR code, and staff scan it.
A gift recipient may arrive with no order number. POS Pro can process an unverified return, credited only to a gift card. That keeps the value and the revenue in the store.
Taxes on cross-channel exchanges
Sales tax (GST/HST, PST or US sales tax) follows the location where you process the exchange. A web order shipped elsewhere may carry a different rate.
Use Shopify Flow for follow-up
Shopify Flow is free on the Basic, Grow, Advanced and Plus plans. Use it to tag ecommerce orders when returns happen.
Worked example: a wrong size
A customer in Ontario orders a $60 sweater from the website, size small. It is too tight, so she brings it in with her order confirmation.
Staff search her email in POS, tap Return or exchange, and select the small. They tap Done, scan the medium, and tap the checkout button. Same price, so $0 is due.
She also picks up a $25 scarf as a new purchase. The store kept $60 of revenue and raised the order value by $25. It paid no return shipping. This example shows the brand value of a quick swap.
Lite or Pro for exchanges
On POS Lite, staff refund the web order and ring up a new one. That splits the record and makes managing returns harder.
On POS Pro, the exchange stays on one order, and a customer credit can absorb the difference. At a few exchanges a week, Pro is worth pricing out. Managing returns on one order also keeps the money trail clean.
Exchange FAQ
Can you exchange an online order in store?
Yes, on a POS Pro location. Find the order, tap Return or exchange, and add the new item. On POS Lite, refund the customer and ring a new sale.
How much does Shopify take from a $100 sale?
On the US Basic plan with Shopify Payments, online cards cost 2.9% plus 30 cents, or $3.20. In person it is 2.6% plus 10 cents, or $2.70.
Card fees fall on Grow and Advanced. Canadian fees are set in CAD.
Can merchants refuse a return?
Yes, within the law. Merchants set a window and mark final items. Ecommerce stores and counters follow the same rules, and POS blocks ineligible returned items.
Do I have to accept a return without a receipt?
No. You can accept it as an unverified return to a gift card, or decline it. Decide one rule and apply it to every customer request.
